Who we are and what this policy covers
Compliant Fleet is DOT compliance and fleet maintenance software operated by Dump Truck Dispatcher, Inc. (“Dump Truck Dispatcher,” “we,” “us” or “our”). This Privacy Policy explains how we collect, use, share and protect personal information when you visit our website (the “Site”) or use the Compliant Fleet web and mobile applications (together, the “Service”).
The Service is built for businesses. Our customers are motor carriers and other fleet operators (“Customers”) who use the Service to keep records about their drivers, vehicles and compliance programs. This policy covers two different situations:
- Information we control. Information about Site visitors, prospects, and the people who create and manage Customer accounts. We decide how this information is used.
- Information we process for Customers. Driver, vehicle and compliance records that a Customer enters into the Service (“Customer Data”). The Customer decides what is collected and why, and we process it on the Customer’s behalf under our Terms of Service and any data processing agreement with that Customer. Section 4 explains this in more detail.
Information we collect
Information you give us
- Account and contact information, such as your name, company name, job title, email address, phone number, USDOT number and password.
- Billing information, such as billing contact and address. Card and bank details are collected and stored by our payment processor, Stripe, and not by us. We receive only limited details, such as the card type, last four digits and expiration date.
- Communications, such as support requests, emails, survey responses and demo requests.
Information collected automatically
- Usage and device information, such as IP address, browser type, device type, pages viewed, features used, referring pages, and the date and time of each visit.
- Cookies and similar technologies. See section 7.
Information from third parties
- Integrations you connect. If a Customer connects a telematics provider, such as Samsara or Wialon, we receive vehicle data like odometer readings and engine hours.
- Service providers and partners, such as our payment processor and, where permitted, advertising and analytics partners that tell us how people found the Site.
How we use information
We use the information we control to:
- Provide, operate, maintain and secure the Service, including creating accounts, authenticating users and processing payments
- Send service messages, such as expiration digests, account notices, billing receipts and security alerts
- Respond to questions and provide customer support
- Understand how the Site and Service are used so we can fix problems and improve features
- Send marketing emails about Compliant Fleet. You can unsubscribe at any time using the link in any marketing email.
- Measure the performance of our advertising
- Detect, prevent and respond to fraud, abuse, security incidents and violations of our Terms
- Comply with legal obligations and enforce our agreements
We may create aggregated or de-identified information that can no longer reasonably identify any person or Customer, and use it to operate, analyze and improve the Service.
Customer Data and driver information
Customers use the Service to store records that often include personal information about their drivers and employees. This can include names, contact details, driver’s license and CDL details, dates of birth, employment history, medical examiner’s certificate details, motor vehicle records, drug and alcohol testing records, Drug and Alcohol Clearinghouse query records, accident records, inspection reports and uploaded documents.
- The Customer is in charge of Customer Data. The Customer decides what to enter, who in its organization can see it, and how long to keep it. The Customer is responsible for having the notices, consents and legal basis required to collect and use that information. That includes obligations under the Federal Motor Carrier Safety Regulations, 49 CFR Part 40, the Fair Credit Reporting Act and the Driver’s Privacy Protection Act.
- We use Customer Data only to provide the Service. We access, use and disclose Customer Data only to provide the Service to that Customer, to provide support the Customer requests, to prevent or address security or technical problems, or as required by law. We do not sell Customer Data, and we do not use it for advertising.
- Driver notices. When a Customer turns on driver notices, we send drivers emails and in-app messages about their own upcoming expirations on the Customer’s behalf.
- Requests from drivers. If you are a driver or employee of one of our Customers and want to access, correct or delete your information, contact that Customer directly. If you contact us, we will forward your request to the Customer and help them respond.
How we share information
We do not sell personal information. We share information only as follows:
- Service providers that host, store, process or support the Service for us, such as cloud hosting (hosting provider), payment processing, email delivery, customer support and analytics. They may use the information only to perform services for us and must protect it.
- Integrations a Customer chooses to connect. Information is exchanged with those providers as the Customer directs.
- Within a Customer’s account. Users a Customer authorizes, and anyone the Customer sends a report or export to, can see the information the Customer makes available to them.
- Legal and safety reasons. We may share information to comply with law, a court order or other legal process, including requests from government agencies. We may also share it to protect the rights, property or safety of Dump Truck Dispatcher, Inc., our Customers or others.
- Business transfers. If we are involved in a merger, acquisition, financing, reorganization or sale of assets, information may be transferred as part of that transaction, subject to this policy.
- With your consent, or at your direction.
How long we keep information
We keep account information for as long as the account is active and for a reasonable period afterward, to comply with legal, tax and accounting obligations, resolve disputes and enforce our agreements.
Customer Data is kept for as long as the Customer’s subscription is active, or until the Customer deletes it. After a subscription ends, the Customer has 30 days to export its data. We then delete or de-identify Customer Data within 90 days, except for copies in routine backups, which are overwritten on their normal schedule, and anything we are legally required to keep. Customers are responsible for meeting their own record retention obligations under FMCSA regulations, including exporting records they must keep after they stop using the Service.
Cookies and analytics
We use cookies and similar technologies on the Site and in the Service:
- Essential cookies keep you signed in, remember your settings and protect the Service. The Service will not work properly without them.
- Analytics cookies help us understand how visitors use the Site and Service, using tools such as Google Analytics.
- Advertising cookies and pixels measure whether our ads lead to sign-ups, using tools such as Google Ads conversion tracking.
You can block or delete cookies in your browser settings. Blocking essential cookies may prevent you from signing in. Where required by law, we honor browser opt-out signals such as Global Privacy Control for analytics and advertising cookies.
Security
We use administrative, technical and physical safeguards designed to protect information against unauthorized access, loss, misuse and alteration, and we limit access to the people and service providers who need it. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. Customers are responsible for managing their users’ access and keeping passwords confidential.
If we learn of a security incident that affects your personal information, we will notify you and the relevant Customer as required by law.

You may use an authorized agent, and we will not discriminate against you for exercising your rights.

The Site and Service are intended for businesses and are not directed to children under 16. We do not knowingly collect personal information from children. If you believe a child has given us personal information, contact us and we will delete it.
